The office handles all mobility procedures for PhD candidates, including Erasmus+ placements, visiting periods abroad, and other international training activities. It provides administrative support, verifies eligibility and documentation, and ensures compliance with University and program regulations throughout the entire process.

Use of the 10% Research Budget

Use of the 10% Research Budget

Each PhD Candidate is entitled to a research budget equal to 10% of the scholarship, intended to support scientific activities in Italy and abroad.

Total amount: €4,872.90

Disbursement: three annual installments of €1,624.30

Validity: the full amount remains available until the PhD degree is awarded.

Eligible Expenses

Research missions in Italy and abroad: travel, accommodation, schools, congresses, research periods.

Registrations: courses, seminars, summer/winter schools, workshops.

Publications and research: open access, services related to the research project.

Consumable materials not subject to inventory (reagents, small instruments, scientific stationery).

Software: only temporary use licenses, not permanent ownership

Rights & Duties of PhD Candidates

Attendance of the PhD programme requires exclusive and full-time commitment.

The PhD Board, through a justified resolution, may authorize the candidate to carry out paid activities that allow them to acquire skills relevant to their training field, after assessing the compatibility of such activities with the proper progress of the doctoral programme (art. 12, para. 1, Ministerial Decree).

Before starting any working activity, the PhD candidate must submit a formal request for authorization to the Coordinator and the supervisor.

During the PhD programme, candidates may carry out the following activities:

  • Tutoring activities for Bachelor’s and Master’s degree students
  • Supplementary teaching activities
  • Didactic support activities within the degree programmes (up to a maximum of 40 hours per year)
  • Clinical and healthcare activities at AOUP or other affiliated public healthcare institutions (up to a maximum of 12 hours per week)

Supervisor & Co-supervisor

The PhD Board assigns each candidate, during the first year, a supervisor and a co-supervisor, at least one of whom must be an academic and preferably a member of the Board itself.

The supervisor and co-supervisor may be external to the Board, provided that at least one of them meets the eligibility requirements established for Board members.

The supervisor oversees the candidate’s progress in order to ensure the success of the training programme and is accountable to the Board for all declarations and formal requirements concerning the candidate

Annual Verification of Training & Research Activities

At the end of each academic year, the PhD Board, after receiving the supervisor’s motivated report, verifies the completion of the training and research activities required from each PhD candidate, according to the following procedures:

Submission of a summary report of the candidate’s training and research activities.

Presentation of the research work carried out by each PhD candidate before an evaluation committee.

Consideration of attendance at all teaching or seminar activities included in the annual programme of the PhD Course or proposed by the Course itself.

Suspension of the PhD Programme

The PhD programme may be suspended for the following reasons:

illness

civil service

attendance of the mandatory training internship for teachers

maternity or paternity leave

serious personal or family reasons

If the suspension exceeds two months, the doctoral scholarship is not paid during the suspension period, and the PhD candidate is required to recover the missed period.

Final Examination

Final Examination
  • By the end of the third year, the PhD candidate must apply to the PhD Office to sit the final examination and submit the thesis to the PhD Board.
  • PhD candidates must complete the evaluation questionnaire before the thesis defence.
  • Within 15 days after the end of the academic year, the Board—after receiving the supervisor’s report—decides whether to forward the thesis to two external reviewers.
  • The reviewers must provide within 30 days an evaluation of the thesis and recommend whether it should be admitted to the public defence or postponed.
  • PhD candidates must upload the electronic version of their thesis on ETD at least 3 days before the date of the final examination.
